1. Who We Are

BikerSpot is operated by Victor Benning (trading as BikerSpot). We are the data controller responsible for your personal data. If you have questions about how we handle your data, contact us at bikerSpot@benning.dev.

2. What Data We Collect

We collect the following information when you use BikerSpot:

  • Account data: email address, display name, and password (managed by Firebase Authentication)
  • Motorcycle data: make, model, year, VIN, licence plate, mileage, photos, and notes
  • Service records: dates, mileage, costs, shop names, service items performed, receipt photos
  • Fuel logs: dates, mileage, volume, cost, station names
  • Documents: owner's manuals and service guides you upload
  • Usage data: basic analytics to understand how the app is used (no third-party tracking)

3. How We Use Your Data

We use your data to:

  • Provide the BikerSpot service (storing and displaying your motorcycle records)
  • Generate AI-powered service recommendations and data extraction
  • Send you service reminders and MOT alerts
  • Process subscription payments
  • Improve the app based on usage patterns

We do not sell your personal data to third parties. We do not use your data for advertising.

4. AI Processing

When you use AI features (text parsing, image recognition, service recommendations), your input is sent to a third-party AI provider (currently OpenAI) for processing. This includes:

  • Text you type for fuel or service logging
  • Photos of petrol pumps, odometers, or receipts
  • Your bike's make, model, and year (for service recommendations)

Fuel pump and odometer photos are not stored after AI processing — they are used only for data extraction and then discarded. Service receipt photos are stored as part of your service record.

5. Where We Store Your Data

Your data is stored using:

  • PostgreSQL database for structured data (bike details, service records, fuel logs)
  • Firebase Cloud Storage for files (photos, manuals, receipts)
  • Firebase Authentication for account credentials

All data is stored on servers within the UK or EU.

6. Data Sharing

We share your data only in these circumstances:

  • Bike history transfer: When you sell a bike and transfer its history, the new owner receives service records and fuel logs. Your personal information (name, email) is not included.
  • Shared manuals: If you upload a manual to the community library, other users can access it.
  • Payment processing: Stripe processes your payment details. We do not store your card information.
  • AI providers: Input data sent for AI processing as described in section 4.
  • Legal requirements: If required by UK law or court order.

7. Your Rights (UK GDPR)

Under UK data protection law, you have the right to:

  • Access: Request a copy of all personal data we hold about you
  • Rectification: Request correction of inaccurate data
  • Erasure: Request deletion of your data ("right to be forgotten")
  • Portability: Request your data in a machine-readable format (PDF export)
  • Objection: Object to processing of your data for specific purposes

8. Cookies

BikerSpot uses only essential cookies required for authentication and session management. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

9. Data Retention

We retain your data for as long as your account is active. If you delete your account, all associated data is permanently removed within 30 days. Cached AI service recommendations (which are not personal data) may be retained for the benefit of other users with the same bike model.

10. Children

BikerSpot is not intended for use by children under 16. We do not knowingly collect data from children under 16.

11. Changes to This Policy

We may update this privacy policy from time to time. For material changes, we will notify you by email at least 30 days before the changes take effect.
